Executive Assistant

The Executive Assistant (EA) to our VP of Product role is responsible for enhancing the impact and expanding the execution of the executive and the product organization leadership team. This role will be an integral part of the team and the overall company culture, reporting to the highest level of leadership within Product.   In short, the EA is an extension of the Product organization, and will be leading, supporting, and collaborating on nearly everything.

The Impact you will make

  • Providing administrative support in a variety of functions to the Product Executives that are focused on increasing efficiency and impact.
  • Providing department support as needed to other development leadership
  • Reviews, prioritizes, directs and delegates a wide variety of complex and confidential requests that are presented to the executive for consideration.
  • Summarizes, prioritizes, and researches information into a concise and usable format for the executive to review.
  • Responds to or routes priority or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of the executive.
  • Creates or directs creation of reports, charts, budgets and other presentation materials for the executive.
  • Coordinates high level projects, travel arrangements, and meetings.
  • Plan and schedule work and direct other staff to deliver support.
  • Planning, executing, and maintaining our office culture, office events, and office management duties.
  • Developing and maintaining a broad knowledge and understanding of the company’s operations and business objectives.

  • You’re Secure. Communicating with over-tasked executives can be challenging, and you thrive on very direct, concise communication, sometimes without pleasantries.
  • You’re A Master Communicator. You’ll be working in person, in writing, on social channels, and a grasp of business level communication is a must.
  • You Thrive on Helping Others Succeed. This role will often blend helping with all aspects of the life of the executive. This will require handling personal tasks, in addition to business related items.
  • You Take Confidentiality Seriously. In this role, you’ll be handling extremely sensitive information and absolute, complete confidentiality and discretion is a MUST.

One-On-One Process

The Executive Assistant will meet weekly with their Executives to catch up and discuss their role. The goal of these meetings is to identify areas where the company and individuals can improve, what areas they’re needing more guidance on, and where the Kajabi leadership team can lend time or resources to help meet goals. It’s also a time to discuss specific expectations and discuss any areas of concern you may have about your job or your team.
