About the Job

The successful candidate will enthusiastically manage multiple aspects of executive operations, providing support across the Chief Executive Officer.  They will perform administrative duties for and work on special projects as requested. Responsibilities may include screening calls, making travel and meeting arrangements, preparing reports and financial data, engaging in board, and investor relations. This position calls for flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients, vendors, and shareholders.

Responsibilities:

  • Provides traditional administrative assistance to the CEO. Includes meeting and travel coordination, scheduling, writing, etc.
  • Interface with corporate legal entities, file and retrieve corporate documents, records, and reports
  • Prepare agendas and make arrangements for committee, board, and other meetings.
  • Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors
  • Attend meetings and compile, transcribe, and distribute minutes of meetings
  • Manage and maintain schedule
  • Event planning and coordination
  • Maintain and manage expense reporting
  • Board liaison: correspond with Board to schedule meetings, prepare and submit expense reports, edit board deck (as requested), print materials and set up board meeting
  • Email management: respond or delegate email responses accordingly for CEO
  • Heavy domestic & international travel coordination: flights, hotels, transportation, dining
  • Strategically prioritize and coordinate professional and personal schedules
  • Work on special projects as requested by the CEO which may include research, analysis, and presentation preparation

Qualifications:

  • 5+ years supporting “C” Level executives
  • Small and/or early-stage high-tech company experience optimal
  • Ability to multitask at a high level with a positive attitude and a calm and relaxed composure
  • Ability to work in a fast paced environment, be flexible in response to changing priorities and needs
  • Exceptional organizational skills with strong analytical and problem solving skills
  • Strong, effective, collaborative interpersonal skills desired. Ease with developing strong working relationships to ensure superior customer service and solutions. Energetic, enthusiastic, confident, even tempered, creative, drama free with a good sense of humor
  • Team focused, service-oriented, self-motivated and passionate about quality
  • Ability to work overtime or flexible hours on occasion
  • Demonstrates the highest ethical standards, maturity, actively promotes trust, respect and integrity in all dealings both inside and outside the Company
  • Ability to handle and contain extremely confidential information
