The Role:

We’re looking for an Executive Assistant to join our team! Reporting to our CTO, you will provide outstanding daily administrative support and get energized by working in a fast-paced environment. This is a perfect role for someone who takes initiative, is intuitive, and thinks strategically. Although this position may offer some remote work flexibility, this role will be based in our Palo Alto office and will require travel to our San Francisco and Los Angeles offices as needed.

In addition to managing complex calendars, and schedules, you will work with cross-functional global leaders and provide high caliber administrative support that will help us execute company projects and goals. Your creativity, passion, and organizational skills will be critical in supporting team off-sites, culture, and special events. The team is distributed across various locations in the US and across the globe, so we are looking for someone that can help build and lead the culture of our team in a remote working environment.

Administrative Support

    • Oversee daily operations through collaboration with CTO and senior management, performing an array of administrative tasks from handling schedules, attending meetings and calls, maintaining team communications, and ensure execution of action items and follow-ups
    • Build presentations, create meeting agendas, maintain meeting notes, and optimize meetings for different time zones to support our distributed international team
    • Serve as liaison between staff, executives, and senior leaders, regarding company climate, employee well-being, project updates, proposals, and planning
    • Assist and connect with CTO and senior engineering leadership in decision-making, program management, and initiative implementation
    • Serve as a subject matter expert, handling inquiries and developing action plans to address them, and assisting with the preparation and dissemination of communications with the appropriate partners, and upkeep designation of Pillars and Pods
    • Arrange domestic and international travel and provide ongoing support as needed
    • Assist the HR department with new hires, capture documentation, help facilitate onboarding, and collaborate to address and resolve all employee concerns
    • Demonstrate discretion and professionalism when working on confidential business and organizational issues
    • Work independently at a fast pace, with a strong personal dedication to meet timelines, and be responsible for the largest team in the company of almost 300 engineers

Team Morale, Events and Celebrations

    • Partner with cross-functional teams to plan, organize, and implement team offsites
    • Work closely with the workplace experience and HR teams to be responsible for birthday, achievement celebrations, and manage team swag
    • Complete other duties as assigned

What we’re looking for:

    • 3+ years of work experience supporting at the executive level
    • Experience supporting global teams is a plus
    • Experience with Google-Suite (Gmail, Calendar, Docs, etc.) is preferred
    • Demonstrated communication and presentation skills, with an ability to express high-level concepts efficiently and effectively to a wide range of audiences
    • Ability to thrive in an accelerated environment, think creatively, and produce innovative solutions
    • Positive relationship management skills and the ability to effectively interact with a diverse set of partners
    • Comfort and familiarity in dealing with highly confidential information
    • Strong verbal and written communication skills
    • Ability to adapt to changing priorities
    • Strong project management skills
    • Excellent time management skills
