Overview
Perform the clerical, administrative, and customer service functions related to the order, production, shipment, and delivery of products. Serve as a primary interface between customer and CPSD following receipt of customer orders.
Essential Functions
- Review customer purchase orders and ERP system entries for accuracy and completeness. Facilitate and document required purchase order and post-acceptance changes and corrections with customers and internal stakeholders.
- Enter order information in the ERP system. Issue and maintain signed Sales Order Acknowledgements.
- Prepare Customer Account Credit Summaries and obtain appropriate level of approvals as required. Monitor customer credit and facilitate credit increase requests with MEPPI Accounts Receivable as needed.
- Review customer purchase orders and identify those with non-standard Terms and Conditions. Ensure those Terms and Conditions are reviewed by a Contracts Consultant. Assist in review and coordinate approval process as required.
- Verify that all internal customer order work and customer payment details are complete before product shipment.
- Maintain commission records, verify commission payments, and prepare manual commission requests.
- Coordinate purchasing of equipment/parts, production scheduling, and shipping activities related to customer orders with partners, customers, and internal departments
- Coordinate returns with Quality, Purchasing, Logistics, and the customer. Issue and maintain Return Material Authorizations (RMA) as required.
- Support customer invoicing and collection processes by reviewing and confirming customer purchase order, sales order and supporting documents.
- Assist Accounts Receivable and PAE with setup and maintenance of progress payments in the ERP system.
- Further the goals and positive, professional image of CPSD by effective dealings with customers, partners, and internal departments.
QualificationsÂ
- Associate’s degree with at least 3 years of experience in customer service and sales order entry in a manufacturing or service industry, or equivalent education and experience.
- Advanced interpersonal, communication, and writing skills required to communicate with customers, partners, and employees.
- Intermediate analytical, problem-solving, and organizational skills.
- Ability to manage multiple priorities and adapt to change within a fast-paced business environment.
- Developed basic math skills.
- Advanced computer skills, emphasizing MS Office products and MRP/ERP systems.
